Privacy Policy

Fieldpaid is a mobile-first invoicing and profit tracking app for trade contractors. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By using Fieldpaid you agree to the practices described here.

1. Information We Collect

Account information: When you sign up we collect your email address, business name, and default hourly rate.

Job and invoice data: We store the quotes, invoices, job actuals, and profit data you create inside Fieldpaid. This data is yours and is never shared with third parties.

QuickBooks data: When you connect QuickBooks, we read your item list and cache it for up to 24 hours to power quoting. We push invoices to QuickBooks on your behalf when you approve them. We do not store your QuickBooks credentials — only the OAuth access and refresh tokens required to maintain your connection.

Voice transcripts: If you use voice quoting, your spoken job description is sent to our server for AI parsing. Transcripts are used only to generate the quote and are not stored after processing.

Usage data: We collect basic usage information such as pages visited and actions taken to improve the product. We do not use third-party analytics trackers.

2. How We Use Your Information

We use your information to:

  • Provide and improve the Fieldpaid service
  • Generate quotes and invoices from your job descriptions
  • Sync invoice data to your QuickBooks account
  • Send automated payment reminder emails to your clients on your behalf via Resend at day 7, 14, and 30 after invoice creation
  • Calculate and display job profit margins
  • Notify you of overdue invoices and payment activity

3. Data Storage and Security

Your data is stored in Supabase (PostgreSQL) hosted on AWS infrastructure. All tables have row-level security enabled — you can only access your own data. All data in transit is encrypted via HTTPS. We do not store payment card data. Stripe handles all payment processing if and when billing is enabled.

4. Third-Party Services

Fieldpaid integrates with the following third-party services:

  • Intuit QuickBooks Online — for item list sync and invoice push. Subject to Intuit's privacy policy.
  • Resend — for sending invoice and payment reminder emails to your clients. Emails are sent on your behalf using your business name.
  • Supabase — for database and authentication infrastructure.
  • Vercel — for hosting and serverless functions.
  • Anthropic — for AI-powered quote parsing from voice or text descriptions. Transcripts are processed server-side only and not stored.
  • Stripe — for payment processing and subscription billing.

We do not sell your data to any third party.

5. Payment Reminder Emails

When you send an invoice through Fieldpaid, the app automatically sends payment reminder emails to your client at day 7, 14, and 30 if the invoice remains unpaid. These emails are sent via Resend using your business name. You can disable reminders for individual invoices from the invoice detail screen.

6. Data Retention

We retain your account and job data for as long as your account is active. If you delete your account, your data is removed from our systems within 30 days. QuickBooks OAuth tokens are deleted immediately upon disconnecting QuickBooks from Settings.

7. Your Rights

You have the right to:

  • Access the data Fieldpaid holds about you
  • Export your job and invoice data
  • Delete your account and associated data
  • Disconnect QuickBooks at any time from Settings
  • Opt out of automated payment reminders per invoice

8. Subscription

Fieldpaid is $20/month with all features included. Subscriptions are billed monthly via Stripe and may be cancelled at any time. This Privacy Policy applies in full.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes we will notify you via email or an in-app notice. Continued use of Fieldpaid after changes constitutes acceptance of the updated policy.
